Job Description:

Associate Director of College Counseling

Responsibilities: Duties below are shared with the Director of College Counseling. Administrative support is also provided by a part-time Office Assistant.

College Counseling

Administers all aspects of the college search and admissions process for students 9-12, including the following:

  • Educate families about colleges, admissions process, trends, procedures, and testing; help students and parents identify and select the best fit for postsecondary options; advise and support classes of 80+ students throughout the college search and application process (grades are divided equally with Director for individual caseload of approx. 40 students per grade); schedule ongoing meetings with juniors and seniors, individually and in groups
  • Host college admissions representative visits and facilitate meetings between college representatives and students; serve as a liaison with college admissions offices
  • Write counselor recommendation for each senior in assigned group, gathering information from YouScience reports (aptitude test that students complete in preparation for junior conference), parents, teachers, school records, and students themselves
  • Send transcripts, teacher recommendations, school, mid-year and final report forms
  • Track admission decisions, statistics, and scholarship awards for annual report to the Head of School and the Head of SOR; maintain and update records in Scoir, including setting up and managing accounts for students and parents
  • Prepare and present informational sessions for parents, including annual college workshops for freshmen, sophomore, junior and senior parents, presentations on financial aid and scholarships, and presentations on athletic recruiting with Athletic Director
  • Help plan and supervise annual Case Study Workshop for juniors and junior parents, coordinating with representatives from a variety of local colleges to assist
  • Update and maintain virtual classroom and resources for juniors and seniors regarding the college process; teach college prep workshops with the Director (usually 6-8 sessions) to juniors throughout the year
  • Maintain consistent communication with students and parents providing periodical updates, as well as important information about upcoming events or deadlines
  • Stay current on issues and trends in college admission, higher education, testing, as well as specific colleges, and maintains membership in professional organizations: College Board, National Association of College Admission Counselors, Texas Association of College Admission Counselors, and Association of College Counselors in Independent Schools
  • Attend TACAC and NACAC meetings and conferences; participates in college counselor visit programs; attend local update programs sponsored by colleges

 SAT/ACT Testing

  • Serve as testing coordinator, maintaining and disseminating information about standardized tests such as SAT, ACT, and AP; help schedule mock SAT and ACT exams
  • Plan and administer PSAT in October for all sophomores and juniors
  • Create registration process and order AP tests; plan and administer ten AP Exams each May
  • Dependent on testing schedule, create registration process, order tests, and plan and administer in school SAT and/or ACT for juniors

 Academic Advising

  • Assist seniors and juniors with completion of their four-year educational plan, advising on course selection and monitoring graduation credits
  • Work with Registrar on student add/drop requests and schedule changes
  • Work with Head of SOR for annual revisions to academic policies and procedures; update forms and documentation as needed
  • Participate in monthly 11th and12th Grade level faculty meetings

 Annual Events

  • Assist in annual Awards Ceremony, including the organization of Book Awards (coordinated with 11th grade faculty), Department Awards, Service Awards, and Grade Level subject awards
  • Attend Commencement Committee meetings and assist Director, Head of SOR and parent volunteers with baccalaureate and commencement preparation, rehearsals, and events
  • Attend Hill of Austin College Fair, Back to School Nights, New Student Orientation, and other events as needed

·  Bachelor’s degree (master’s preferred) with 3-5 years of experience in college admissions or high school college counseling

·  Superior written, verbal, and interpersonal communication skills

·  Excellent listening skills with a desire to build relationships and rapport, a sense of humor, flexibility, and the ability to multitask

·  Extremely high attention to detail and accuracy in a deadline-oriented environment

·  Ability to respond effectively and graciously to the needs of a diverse and demanding student population and knowledge of the developmental needs of high school students

· Firm understanding of current trends in college admissions, familiarity with a broad range of colleges and universities, and a commitment to ongoing professional learning and growth

· Understanding of the goals, objectives, and mission of a classical Christian school
